    PanelTime™ is a private drafting aid. It is not a government website and is not affiliated with the U.S. Courts, the Administrative Office of the U.S. Courts, or the federal eVoucher system.
  

1. Who we are

PanelTime^™ is operated as a sole proprietorship from sunny Southern California, located at 185 West F Street, Suite 100-D, San Diego, CA 92101. You can reach us at paneltimeai@gmail.com.

2. What information we collect

We collect the following information when you use PanelTime^™:

Email address — collected when you request a free conversion or subscribe. Used to manage your account, enforce the free-trial limit, and send occasional product updates (with your consent).
IP address — collected at the time of conversion to enforce rate limits and deter abuse.
Conversion metadata — we log the date, time, and filename of each conversion associated with your email for usage tracking and billing verification.
Payment information — handled entirely by PayPal. We never see or store your credit card number.

3. Data storage

PanelTime^™ may retain uploaded documents and time entry data to operate and improve the service. For Handlebill subscribers, your time entries, cases, and billing records are stored in your account so you can access and export them at any time.

    Back up your data. PanelTime™ is not responsible for lost, corrupted, or unavailable data. We strongly recommend that you keep independent copies of your time records and email your CSVs to yourself regularly. Do not rely solely on PanelTime™ as the only record of your hours.

To provide the timesheet conversion service
To enforce the free-trial limit (3 conversions per email)
To manage your subscription via PayPal
To send occasional product updates and announcements
To prevent abuse via IP rate limiting

5. Marketing emails and CAN-SPAM compliance

If you provided your email for a free conversion, you consented to receive occasional product updates from PanelTime^™. Every marketing email we send will include:

A clear identification that it is from PanelTime^™

A working unsubscribe link

We will honor all unsubscribe requests promptly. We do not sell or share your email address with third parties for marketing purposes.

6. Third-party services

We use trusted third-party service providers to operate PanelTime^™, including payment processing, cloud hosting, and AI-powered text extraction. These providers may process your data in accordance with their own privacy policies. We do not sell your data to any third party.

7. Data retention

We retain your email address and conversion logs for as long as your account is active or as needed to provide the service. You may request deletion of your data at any time by emailing paneltimeai@gmail.com.

8. Security

All data is transmitted over HTTPS. Your API key and payment credentials are stored as encrypted environment variables and are never exposed to the browser or to third parties.

9. Handlebill™ analytics — no financial advice

Handlebill^™ includes practice analytics features that display fee totals, hours, expenses, and year-end summaries. These figures are generated from your own time entries and published CJA statutory rates.

    Analytics are for practice management only — not tax or financial advice. Handlebill™ does not provide accounting, tax, or financial advisory services. Figures shown in Analytics may contain errors or miscalculations and should not be used as the basis for tax filings, financial statements, or any official reporting without independent verification by a qualified accountant or CPA.
  

10. Children

PanelTime^™ is intended for use by licensed attorneys and legal professionals. We do not knowingly collect information from anyone under 18.

11. Changes to this policy

We may update this policy from time to time. Material changes will be communicated via email to active subscribers. Continued use of the service after changes constitutes acceptance.
